Protecting your privacy is important to us and we strive to protect all information relating to you in accordance with this Privacy Policy and the law. As part of the normal operation of our services you may voluntarily provide us with information about yourself.

1.      About this Policy

The purpose of this Privacy Policy is to explain what personal data we collect about you (including through our website: www.imogencoopermusictrust.com), how that personal data might be used and how we protect your personal data and privacy.

We may collect, use and store your personal data, as described in this Privacy Policy.

We may amend this Privacy Policy from time to time without prior notice. It was last updated on 22nd May 2023. Updates to this Policy will be posted on this page – please check back from time to time.

If we make any significant changes to this Policy, we will make this clear on our website and will use reasonable efforts to contact you directly to inform you of these significant changes where appropriate.

2.      Who are we?

We are the Imogen Cooper Music Trust, a UK registered charity (charity number: 1162347) that awards scholarships to outstanding young musicians giving them the opportunity to spend one-to-one study time with the pianist Dame Imogen Cooper, to attend her masterclasses and to perform recitals.

For the purposes of the UK GDPR, we are the ‘Controller’ of all personal data we hold about you. This means that we are responsible for handling your personal data.

3.      How we collect your data and what information we collect (and why)

Personal data is any information that relates to an individual. It does not include information where the identity of the individual has been fully and effectively removed (anonymous data).

We collect personal data:            

  • For our mailing list, typically through the contact form on our website, when you sign up for the mailing list at events or when you buy tickets directly from us. In these cases, we collect only your name and email address.
     

  • When you purchase tickets for one of our events from our ticket service provider. In these cases, we collect your name and – if you opt-in to receiving communications from us – your email address.

  • To engage with you and any feedback, questions or comments you send to us directly via email or via the ‘Contact us’ page on our website. In this case, we collect your name, email address and any personal data that you include in the substance of your message to us, and we will keep a record of our correspondence with you.

  • For donations that you make, to process these donations, enable acknowledgement and, optionally, to claim Gift Aid. In this instance we will collect your name and email address, payment details (including credit or debit card details and billing address) and, if you allow us to claim Gift Aid, your home address.

  • When you apply for an Imogen Cooper Music Trust Scholarship, to process your application and enable us to determine your eligibility and, if successful, make payments to you. We will record your home address, email address and telephone number, date of birth, nationality and CV. In the case of a successful application, we also temporarily record your bank account details to enable the payment of any fees and expenses.

  • When you access our websites, we also collect technical information about your computer, including, where available, your IP address, operating system, and browser type. We do this so that we can identify unique visitors to our website and analyse trends so that we can improve the site and our services.

We collect this data from you directly when you use our website, make a donation, apply for a scholarship, or sign up to our mailing list. We may also obtain information about you from our ticket service provider when you purchase tickets for one of our events.

Information about how you can manage the ways that we contact you, including how to opt out from some or all contact from us, is outlined in the 'Your Rights' section below.

4.      Our lawful bases

We will only use personal information when the law allows us to (i.e., where we have a ‘lawful basis’).

Most commonly, we will use your personal information in the following circumstances:

  • Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests. For example, we have a legitimate interest in managing our relationship with you and answering any queries you have.

  • Where it is necessary for the performance of a contract with you;

  • Where it is necessary to comply with a legal obligation on us (for example, reporting to local charity, tax or other regulators).

In some circumstances, we may ask for your consent to use your personal information for a specific purpose. In particular, and as noted above, we may obtain your consent before we send you any email marketing or other communications about topics and events which we think might interest you.

You may unsubscribe from our email communications by following the instructions in any email that we send you, or you can withdraw your consent and request us to remove your personal information at any time by contacting us using the details set out below.

5.      How we protect your personal data

We use technical and operational security measures appropriate to the sensitivity of the personal data we hold to protect it from loss, misuse or unauthorised alteration or destruction. While we seek to use appropriate organisational, technical and administrative measures to protect personal information within our organisation, unfortunately no data transmission or storage system can be guaranteed to be 100% secure. If you have reason to believe that your interaction with us is no longer secure, please immediately notify us in accordance with the “Contact Details” section below.

6.      Who else has access to the information you provide us?

Only staff and volunteers of the Imogen Cooper Music Trust with a valid necessity to access or process your personal data can access it. We may share your personal information with third parties, including the following:

  • with contractors, suppliers, or other third parties that provide services on our behalf (such as website host providers and payment processors);

  • with our partners, to the extent required to provide our scholarships (including to enable our scholars to stay in Provence);

  • as part of a sale, merger or acquisition, or other transfer of all or part of our assets including as part of a bankruptcy proceeding;

  • pursuant to a subpoena, court order, or other legal process or as otherwise required or requested by law, regulation, or government authority programs, or to protect our rights or the rights or safety of third parties;

  • with our professional advisors, lawyers, accountants and auditors; or

  • with your consent or as otherwise disclosed at the time of data collection or sharing.

7.      International Data Transfers

We may transfer your personal data outside of the UK in some circumstances, for example where necessary as part of our scholarship offering in France. Where we do so, we take steps to ensure that your personal information is protected in accordance with appropriate safeguards, especially where the recipient country is not considered to provide an adequate level of data protection under UK law. In particular, we rely on appropriate safeguards under data protection legislation, such as the UK International Data Transfer Agreement to protect your personal information.

8.      Keeping your information up to date

We appreciate your help in keeping us informed of changes to your contact details. Please keep us up to date of any changes to your details so that we can ensure that any personal data that we hold about you is accurate and up to date.

9.      How long do we keep your information?

We will hold your personal data on our systems for no longer than reasonably necessary to carry out the activities for which you gave us the personal data, or until you choose to unsubscribe to receiving marketing emails from us.

The criteria we use to determine the retention period of personal data are: (i) the respective statutory retention period; (ii) our contractual and/or business relationships with you; (iii) (potential) disputes; and (iv) any guidelines issued by relevant regulators. After expiration of that period, the relevant data is routinely deleted, as long as it is no longer necessary for the fulfilment of a contract, the initiation of a contract or to protect or defend our position or that of a third party.

Under the UK GDPR you have certain rights relating to your personal data. In particular, you may have a right to the following: 

  • to request access to the personal data we hold about you

  • to request that we rectify or erase your personal data

  • to request that we restrict the processing of your personal data

  • to object to our processing of your personal data in certain circumstances

  • under certain circumstances, to ask us to port personal information about you that you have provided to us to you or to a third party

  • where we previously obtained your consent, to withdraw consent to processing your personal data.
